QJ’s Banquet Hall

Facility Rental Agreement

This contract and agreement are made and entered into the date selected at the bottom of this page by and between QJ’s Banquet Hall, whose address is 3998 Hwy 123 N, Maury North Carolina, 28580, (hereinafter referred to as the “Lessor”) and the person, persons, or organization named below and/or in the Facility Rental Reservation Form as Lessee (hereinafter referred to as “Lessee”).

WITNESSETH:

For and in consideration hereinafter set out, QJ’s Banquet Hall does hereby rent to Lessee that part of QJ’s Banquet Hall set forth in the Facility Rental Reservation Form attached hereto, subject to the following terms and conditions:

 

1.     This Facility Rental Agreement shall be restricted to the dates, times, and purposes specified in the Facility Rental Reservation Form.

2.     Upon signing the Agreement and payment of the required retainer from the Lessee, QJ's Banquet Hall shall reserve the agreed-upon date and time listed below at the rate agreed upon on the attached rate sheet. That price includes tables, chairs, and a general cleaning fee. We do not provide more tables on the day of the event. All guests, including children, must be able to be seated with the number of chairs indicated per the guest count on the attached fee sheet. Should additional chairs/tables be needed, there will be an additional charge.

  1. Time allowed includes setup and cleanup. If the venue is needed before or after the agreed-upon time on the day of the event, there will be a $ 100-per-hour charge.

  2. Total of all guests and vendors is to be the maximum total number of agreed amount of people that will be in the building at the time of usage. Any change to amount of people will need to be approved by QJ's management prior to the event and may incur additional charges.

  3. Kitchen may not be used for cooking under any circumstances. There will be an additional charge of $350 should the kitchen need to be cleaned after the event.


a.     Retainer Fee Required. A non-refundable retainer fee (1/2 of the total fee) is required to confirm and secure your date for the event and must be paid at the time the agreement is signed. A refundable damage deposit of $200 is required and will be returned to you upon inspection within 14 days after your event. The damage deposit is not included in the rental fee.

b.     Final Payment & Confirming Attendance. Lessee will pay the full rental amount 30 days prior to the event date. Within 30 days of the event, all deposits and monies collected, except for the damage deposit, are non-refundable. The lessee must confirm the final number of guests attending the event 14 days prior to the event. The maximum number of guests is 200.

Payment Requirements. Acceptable forms of payment at QJ's Banquet Hall are cash, credit cards, certified checks, and money orders. (Cash App may be available)

a.     Cancellation. 

  1. Should you choose to cancel your event, the retainer (1/2 of the total cost) is non-refundable.

  2. If you cancel more than 30 days prior to the event, QJ's will work with you to find an alternate date within the year.

  3. Cancellations or date changes must be in writing.

  4. The damage deposit ($200) will be refunded to you within 14 days of receiving your cancellation.

b.     Rehearsals/Set-Up/Down. May be scheduled prior to and/or after the event, based on availability. Facility use for rehearsals/setup/teardown is $100 per hour, with a 4-hour minimum on the day before and/or the day after.

Property.

  1. Use of Property

  2. No events or setups may take place in front of the building

  3. All festivities, including amplified music, must conclude no later than 12 am

  4. No amplified music or drinking of alcohol allowed in front of the building

  5. In accordance with the State Fire Marshall restriction, exceeding the maximum building capacity is prohibited.

    Parking. Parking is prohibited in the Family Dollar's parking lot across the road or in the neighbor's driveway.

    Smoking. This is a smoke-free facility. Smoking is permitted only on the patio at the rear of the building.

Security: Any event serving alcohol requires two (2) licensed security guards for every 50 guests. The charge per guard is $250 for a minimum block of 4 hours, plus $50 per hour thereafter.

Pets. No Pets, other than service animals granted by the Americans with Disabilities Act, are allowed inside QJ's Banquet Hall.

Noise. Amplified music must be kept at a reasonable volume and is allowed only inside the building. QJ's Banquet Hall Staff are authorized to lower the volume of the music if deemed too loud. Music must stop at 12 am.

Alcohol Consumption. The Lessee is responsible fr ensuring the proper NC ABC permit is in place when alcohol is served and/or consumed. Alcohol cannot be served and/or consumed without the proper permit.

  1. Permit must be available to QJ's Banquet Hall prior to the event and displayed during the event.

  2. Vendor's staff may not consume alcoholic beverages while on the property during the event.

  3. The legal drinking age in North Carolina is 21.

  4. QJ's Banquet Hall staff are authorized to close the bar down if alcohol consumption becomes a dangerous situation and/or is the cause of damage to the property.

  5. All alcohol shall remain at the bar and is to be served only by bartender(s).

  6. One Bartender for every 80-100 guests will be provided by QJs Banquet Hall at a rate of $25 per hour, with a minimum block of 4 hours.

  7. The bar will be closed at 11:00 pm unless otherwise agreed.


  1. Other Restrictions. No food, beverages, or dishes shall be left in the building (including in the refrigerator, on the stove top, in the oven, microwave, or in the sink). Smoking will not be permitted inside the building. Sparklers, fireworks, or any open-flame lighting device are also prohibited. No artwork, pictures, or décor shall be touched, removed, or altered without the express consent of QJ’s Banquet Hall Coordinator. People shall not lean on walls or furniture. People should not touch or operate the television. People should not touch any security cameras or their equipment.

  2. No nailing, taping, or decorating of interior walls or exterior decoration shall be done without the express consent of QJ’s Banquet Hall Coordinator. No trash shall be left on the premises (use the outside dumpster for debris). No items are to be hung from the ceiling.

Vendor Policies.

  1. The lessee is solely responsible for vendors contracted for the event. Responsibilities include clean up, garbage removal, conduct, and damage. All caterers must thoroughly wipe down any areas used to plate food, clean rolling carts top to bottom, and sweep the kitchen floor after use. A $250 fee will be added if the kitchen is not cleaned. QJ's Banquet Hall is not responsible, or held liable, for any contracts made between the Lessee and the Vendor(s).

  2. Open Flame - No cooking is allowed outside the front of the building. No cooking is allowed on the lawn. The use of propane heaters inside the building or outside under a canopy is prohibited.

  3. Kitchen Use - Catering companies must be self-contained with hot boxes or be able to prepare and cook meals using self-contained mobile kitchens. Mobile kitchens are only allowed to park in front of the building by the light pole.

  4. Deliveries & Pick Up - All rental items and vendor equipment must be removed at the end of the event unless other agreements have been made.

  5. Cleaning - Vendors may use sinks to dispose of water-based organic liquids and food juices only - no oils, grease, or food. There are no garbage disposals. All garbage must be removed from inside and outside the building and put in the dumpsters provided at the back of the building. There is a grease bin if needed. Vendors are required to wipe down/mop up all areas where food was present. Cleaning supplies are available through QJ's Banquet Hall.

  6. Alcohol - Vendor staff may not consume alcoholic beverages while on the property during an event.

    Cleaning: Lessee may use the sinks to dispose of water-based organic liquids and food juices only - no oils, grease, or food. There are no garbage disposals. All garbage must be removed from inside and outside the building and put in the dumpsters provided at the back of the building. The lessee is required to wipe down all areas where food was present. Cleaning supplies can be accessed through QJ's.

    Decorations

    1. No tape, nails, or staples can be used on building surfaces. Wire, floral wire, and non-stick tape are allowed.

    2. Candles may be used cautiously. Dripless candles are mandatory and must be stationary in non-flammable containers. Battery-operated tea lights are recommended.

    3. Rice, confetti, birdseed, potpourri, glitter, rose petals, or any substance of that nature may only be used on tables for decoration purposes and must be cleaned up entirely at the end of the event.

    4. Rose/flower petals may not be used on the floor.

Agreement Adherence:

It is understood and agreed that should your group fail to adhere to all rules, policies, and conform to the proper use of the building, QJ's Banquet Hall may, at its discretion, terminate this agreement and require the renting parties to vacate the building (during the event if necessary), forfeiting all fees and monies.

Acts of God:

QJ's Banquet Hall is not held liable for events not being held due to uncontrollable circumstances or Acts of God.

Children:

Children must be supervised at all times. Under no circumstances are children allowed to crawl on knee walls, run around in the building, or linger in parking areas.

Signatures:

This contract may be signed electronically. Electronic signatures count as original for all purposes.

By typing their names as signatures above, both parties agree to the terms and provisions of this agreement.
